Terms of Service

These terms are the agreement between you and MeetViz (“we”, “us”) about your use of MeetViz (“the Service”). By signing in or sending the bot into a meeting, you accept them. If you are accepting on behalf of an organisation, you confirm you are entitled to bind it.

1. What the Service does

MeetViz sends a bot into a video meeting on Google Meet, Zoom, Microsoft Teams, Webex or GoTo Meeting. The bot listens, a language model turns what is said into a live wall of notes — claims, objections, questions, decisions — which the bot shows back to the room as its camera, and afterwards MeetViz produces a written record. The same wall can be built from your microphone or from a transcript you upload.

2. Who may use it

You need a Google account to sign in, and you must be at least 16 years old. A deployment may restrict sign-in to specific addresses or a single email domain; if yours is not on that list, you will not be admitted. You are responsible for what happens under your account, so keep your Google account secure.

3. Recording, consent and your responsibilities

You are responsible for the legality of every recording you start. Recording or transcribing a conversation is regulated, and in many jurisdictions all participants must be informed and sometimes must consent. Before you send the bot in, make sure you are entitled to.

The bot is deliberately visible: it appears in the participant list and shows the live wall as its video. Do not attempt to disguise its presence.

4. Your content

Transcripts, walls, corrections and records made through the Service are yours. You grant us only the licence we need to run the Service for you: to store that content, send it to the providers listed in the Privacy Policy for transcription and model processing, display it to you and to holders of your share links, and deliver it to the channels you have configured. We claim no ownership of it, and we do not use it to train AI models.

You can export a wall at any time, and deleting it removes its content from our storage.

5. Share links

A share link carries a secret token, and anyone holding it can read that wall’s notes and transcript without signing in. That is what makes the link — and the bot’s camera — work. Treat share links as confidential; we cannot control who sees a link after you send it.

6. Machine-generated output

The wall and the record are produced by a language model from an automatic transcript. They will sometimes be wrong — a misattributed speaker, a mangled name, a decision recorded that nobody actually made, a point that was made and never appears. Read the record before you rely on it.

MeetViz is a thinking aid, not a court reporter or a system of record. Do not use its output as legal evidence, as a contractual record, or as the sole basis for a decision with consequences, without a human checking it against the underlying transcript — which every note links back to, precisely so that check is easy.

7. Third-party services

The Service depends on Recall.ai for joining and transcribing meetings, on Anthropic’s Claude (directly or through AWS Bedrock) for the model work, on AWS for hosting, and on Google for sign-in. Their availability, changes and failures are outside our control, and your use of the Service is also subject to their terms. The Privacy Policy lists what each of them sees.

8. Availability and changes

The Service is provided as it stands and is under active development. We may add, change, suspend or remove features, impose usage limits, or discontinue the Service, at any time. There is no uptime commitment and no service-level agreement unless we have signed one with you separately. Meetings can fail to be joined, transcripts can be lost, and walls can be incomplete.

9. Fees

Where no separate written agreement sets a price, the Service is provided free of charge and we may introduce or change fees with reasonable prior notice. Each session costs us money in bot time and model calls, which is why access can be limited to an allowlist and why usage limits may apply.

10. Suspension and termination

You may stop using the Service at any time and delete your walls. We may suspend or terminate access if you breach these terms, if your use puts the Service or other users at risk, or if we discontinue the Service. On termination, your right to use it ends; content you have already deleted stays deleted, and you should export anything you want to keep.

11. Intellectual property

The Service itself — its software, interface, visual design and name — belongs to MeetViz. These terms grant you a limited, non-exclusive, revocable right to use it, and nothing more.

12. Disclaimer

To the fullest extent permitted by law, the Service is provided “as is” and “as available”, without warranties of any kind, express or implied, including fitness for a particular purpose, non-infringement, uninterrupted availability, and the accuracy or completeness of any transcript, wall or record it produces.

13. Limitation of liability

To the fullest extent permitted by law, we are not liable for indirect, incidental, special or consequential damages, for lost profits, lost business or lost data, or for decisions taken on the basis of the Service’s output. Our total aggregate liability arising out of or in connection with the Service is limited to the greater of the amount you paid us for it in the twelve months before the claim, or EUR 100.

Nothing here limits liability that cannot be limited by law, including liability for death or personal injury caused by negligence, for fraud, or for intent and gross negligence. Consumers keep their mandatory statutory rights.

14. Indemnity

You will indemnify us against claims brought by third parties — including meeting participants — arising from your use of the Service in breach of these terms, in particular from recording a meeting you were not entitled to record.

15. Governing law

These terms are governed by the law of the Czech Republic, and the courts of the Czech Republic have jurisdiction over any dispute, without prejudice to any mandatory protection you enjoy as a consumer in your country of residence.

16. Changes to these terms

We may update these terms; the date at the top shows when. Material changes will be announced in the application before they take effect, and continuing to use the Service afterwards means you accept the updated terms.
